What is iVoxPromo?
Mission Statement
What is an iVP?
An iVP is your customized press kit on the web and includes space for audio, video, resume, headshots, bio, previous roles performed, reviews, and calendar. Gone are the days of printing costs, CD copying, photo reproductions, and mailing costs, not to mention wasting money on outdated material when you make a new recording, take new headshots, update your resume, and add dates to your calendar. Most importantly, you can choose which audio or video clips you would like open to the public, and which ones remain private for logged in Performing Arts Producers. The front page of your iVP is submitted to Producers when you apply to their productions, festivals, and events. Also, at no additional cost, you can email your iVP to anyone you'd like at any time (see below) without cluttering up your recipient's inbox. This is because iVoxPromo stores your large content files, making it easy for Producers to access 24 hours a day from anywhere in the world.
What if I already have a web site?
iVoxPromo is the first stop for Producers who are in need of vocalists. Your iVP is not meant to replace your website. It is your gateway to submitting applications to any number of event listings posted by our participating Performing Arts Producers and eliminates the costly process of putting together and sending press kits. Additionally, Producers can search for an artist on iVoxPromo based on a number of criteria, including name, location, voice type, and previous roles performed.
What if I have audio, but no headshots or upcoming performances?
You can choose which tabs you would like to include on your iVP. Just choose what you have and the others will not appear.
Why is there an initial delay before my iVP is posted publicly?
All of our subscribing vocalists are carefully screened. iVoxPromo will not accept vocalists that do not measure up to the level of professionalism that our participating Producers expect and require.
Who can view my iVP?
As you edit your iVP you can choose which audio or video clips you would like open to the public, and which ones remain private for logged in Performing Arts Producers. Keep in mind that you are responsible for whatever you post. If you post a recording that you made while under contract for a record company, you are responsible for obtaining permission. Keep in mind that these files (or excerpts) are not being sold and appear solely as a representation of you and your artistic quality.
How can I email my iVP?
Once logged in to your iVP simply click on "email my iVP". Your email program will then open up with the front page of your iVP contained in the body of the email. Since it doesn't contain the actual content files, you will not clog up his or her inbox. Your recipient can then click on the links on your front page, be directed back to iVoxPromo and be able to view all of your press kit material, 24/7.
How do I apply for opportunities?
Subscribing artists can apply to any of the events posted by our participating Performing Arts Producers. Once you are logged in and review the events, click "apply". Your iVP will then be sent to the Producer for his or her review. Some producers charge a processing fee for their initial round of auditions. If this is the case, you will pay this fee by credit card during the application process. This method will make keeping track of your payments, receipts, and possible tax deductions much easier for you. Please be aware that the fee is determined solely by the Producer and not iVoxPromo.
How can I find out more about Performing Arts Producers and their events?
Although we make every effort to check the accuracy and validity of our Performing Arts Producers, we are not held responsible for the content that they post regarding events, whether professional or educational. Therefore, we recommend that you do at least a basic internet search in order to confirm the exact details regarding their programs if they are a Producer that you are unfamiliar with. Please note that once you pay their processing fee there are no refunds.
When and how will I hear the results of my event submissions?
All participating Performing Arts Producers are required to notify all iVoxPromo applicants the results of their application by email within a timely manner.
What can I do to encourage Producers to look at my page?

What if I am under management?
IVoxPromo is not meant to replace your management company, nor are we a management company. We are a service available to you, and your management company, that will create a more efficient means to get your press material out to those who need to hear it. If you are under an exclusive contract there is a text field available to you as you edit your iVP where you can post your management company's contact info.
What types of audio and video can I post?
In terms of genres and/or styles, please see Tips on creating a successful iVP. For technical considerations, see the following 'content' FAQ.
How much content can I upload?
Each subscriber has 80 Megs for content on their iVP. Headshots are limited to 10, but the amount of audio and video can be proportioned to your own specific needs. For example, there is adequate room for 30 minutes of audio at 30 Meg (in MP3 format) and 10 minutes of video at 50 Meg (as a QuickTime movie file with a recommended size of 320 x 240). Video files take up a large amount of space so if your QuickTime files are less that 10 minutes, the amount of audio space increases dramatically. Additionally, recordings that you've made may be longer than you realistically need for a press kit. You may want to consider shortening the length of certain tracks in order to post as many tracks as possible. For more information, please see our Tips on creating a successful iVP link.
How is my subscription billed?
Your subscription is billed yearly. Shortly before your current subscription expires, iVoxPromo will send you a reminder so that your iVP is not removed from the server.
Uploading audio/video/headshots:
When setting up or editing your iVP click the browse button to add files from your computer. Note that audio clips must be in MP3 format and video must be a QuickTime movie file with a recommended size of 320 x 240. When finished click the update button. Can iVoxPromo set up my iVP for me?
All of the files needed for a successful iVP can easily be uploaded from any home computer, provided they are in a digital format. However, if you decide that you would rather have iVoxPromo convert or upload the material for you, we can do so at a charge of $10 per file, with a $100 minimum per iVP. Can iVoxPromo edit the lengths of my audio or video files?
There are many computer programs that are available that can easily edit the lengths of audio or video files. However, if you decide that you would rather have iVoxPromo do the editing for you, we can do so at a charge of $15 per file, with a $100 minimum per iVP.
How can I participate in your referral program?
During the initial billing procedure there is a blank text field for 'referral'. If you refer someone to iVoxPromo have them type your username in this field. We will then credit you $5 per referral towards your next year's subscription, with a maximum credit limit of $100 per year.
Why can't I view the Sounding Board?
Artists and Performing Arts Producers must be logged in to view current and archived postings in their entirety.

Why should I become a participating iVoxPromo Performing Arts Producer?
iVoxPromo is the first stop for connecting artists and Producers. Producers will no longer be overwhelmed by paperwork, applications, processing application fees (see below), or dragging around CD's or cassettes. All of the artists' materials will be accessible 24 hours a day and easily managed from anywhere in the world by you or your staff by logging in to your customized and secure iVoxStudio (see below).
What if I already have a web site?
iVoxPromo is not meant to replace your website. It is your gateway to promoting and collecting applications to your professional and/or academic productions and events. Your posted events will be visible to all users of the site in addition to being included in emails to all subscribing artists. Artists from around the world can then apply with the click of a button.
What is 'iVoxStudio'?
iVoxStudio is your virtual office for managing all aspects of the audition process. Categorize vocalists in any manner you choose, place notes within their file, have access to all of their contact information, collect processing fees (see below), as well as respond to applications with the click of a button. [click here to view sample screen] Most importantly, since the artists' materials are housed on the iVoxPromo website, your computer will not be bogged down by large audio or video files. You just click the links on their submitted iVP front page and instantly access all of their press kit material 24 hours a day from anywhere in the world.
Under what criteria can I search for artists?
Anyone can perform a basic or advanced search for an artist on iVoxPromo based on a number of criteria, including name, location, voice type, and previous roles performed.
How do I register and list my opportunities?
Once registered as an iVoxPromo Performing Arts Producer and logged in, click the iVoxStudio tab and click on "Add an Event". A form will appear for you to fill out with all the necessary details for your event.
What are the benefits of becoming an exclusive participating Producer?
In order to simplify the pre-production process it is beneficial to the producer to encourage artists to apply using iVoxPromo. The easiest way to accomplish this is by choosing to accept applications solely through iVoxPromo instead of receiving bulky packages through regular mail. Simply replace your mailing address or PO Box in your brochures or advertising with the iVoxPromo website address. In turn, we will feature your opportunities prominently on our website and, whenever possible, include your name and/or company in our print advertising for extra exposure
Why is there an initial delay before my first events are posted publicly?
Since there is no cost for Performing Arts Producers to register to use iVoxPromo, we will perform a preliminary check on your company prior to your first post. There is also a delay and prescreening for artists since iVoxPromo will not accept any vocalist that does not measure up to the level of professionalism that our participating Producers expect and require.
What if I charge a processing fee for auditions?
As has always been the case, Producers have often charged a processing fee for applications. If this is the case you can still do so without the hassle of depositing checks throughout the audition process. iVoxPromo will collect your posted fee by credit card or PayPal as artists apply and send you one bulk check within ten days after your application deadline. The fee for this service is a 10% processing charge withheld from the bulk check.
How can I manage my applicants?
Applicants can be managed in iVoxStudio by a number of criteria. Arrange them by voice type, leave notes for you or your staff, and even send out acceptance or decline letters. For more information see the above FAQ "What is iVoxStudio?".
How do I communicate with artists?
If you find an artist through on open search you will see a field containing either their personal or management agency's email address. However, if an artist applies to one of your events, their submission will include all of their personal information that would normally be contained on a standard application form.
Why can't I view the Sounding Board?
Artists and Performing Arts Producers must be logged in to view current and archived postings in their entirety.
